Reservations, Payments and Policies

How far in advance should I reserve Santa Albert?

Reserve your preferred date and time as early as possible. Prime December weekends, evenings, Christmas Eve, and Christmas Day appointments fill up quickly.

Availability is offered on a first-come, first-served basis. A reservation is not confirmed until Santa Albert receives the signed Appearance Agreement and the required 50% retainer.

How do I pay for and confirm my reservation?

Your reservation is confirmed after Santa Albert receives your signed Appearance Agreement and the required 50% retainer.

The remaining balance is due in accordance with the payment schedule stated in your agreement and invoice. Most major credit cards, business checks, and money orders are accepted. Reservations made within seven days of an appearance must be paid in full at the time of booking.

Can I hire Santa Albert for less than one hour?

A shorter appearance may sometimes be arranged, depending on Santa Albert’s availability and travel schedule.

However, all reservations are subject to a one-hour minimum charge, even when the requested appearance lasts less than one hour.

These policies help Santa Albert reserve each appointment fairly, prepare every appearance carefully, and provide dependable professional service.

Do you offer reduced rates for nonprofit organizations?

Nonprofit organizations are welcome to request special pricing. Reduced rates may be available depending on Santa Albert’s schedule, the event date and location, the length of the appearance, and the services requested.

Discounted or complimentary appearances are not guaranteed and must be approved in advance.

Santa Albert considers each nonprofit request individually, taking availability, travel, event needs, and existing professional commitments into account.

What is Santa Albert’s cancellation and rescheduling policy?

If a client cancels an appearance, the retainer is non-refundable because the reserved date and time were removed from Santa Albert’s calendar.

If written notice is received at least 30 days before the scheduled appearance, the retainer may be transferred to a mutually agreeable new date, subject to availability.

Any rescheduled appearance requires a new Appearance Agreement that replaces the original agreement. Complete cancellation, postponement, and payment terms are included in the client’s signed Appearance Agreement.

These terms protect Santa Albert’s reserved appointment time while allowing the retainer to be transferred when at least 30 days’ written notice is provided and a new date is available.

What happens if Santa Albert becomes ill or has an emergency?

If illness, an emergency, or another circumstance beyond Santa Albert’s control prevents him from attending, every reasonable effort will be made to provide a qualified substitute Santa selected by Santa Albert.

Any substitute will be chosen to meet the same professional standards of appearance, conduct, reliability, and guest care expected from a Santa Albert appearance. The client will be contacted as soon as reasonably possible if a substitution becomes necessary.

What areas does Santa Albert serve, and are travel fees charged?

Santa Albert serves communities throughout the Greater San Francisco Bay Area. Any applicable travel fee is based on the event location and will be disclosed before the reservation is confirmed.

What is included in Santa Albert’s visit?

Every Santa Albert appearance is customized according to the event and the activities listed in the Appearance Agreement.

Depending on the occasion, available time, and activities arranged in advance, the visit may include a grand entrance, conversations with guests, photographs, gift presentations, storytelling, Santa’s Nice List routine, and leading Christmas carols.

Photography packages, printed photographs, Santa’s throne, backdrops, props, and additional holiday characters are optional services and are included only when specified in your reservation.

Activities are planned in advance so the visit feels personal, organized, and appropriate for your guests and celebration.

What should we prepare before Santa Albert arrives?

Please designate one adult as Santa Albert’s event contact and make sure that person keeps a mobile phone nearby before the scheduled arrival time.

Please reserve a convenient parking space close to the entrance or loading area, preferably where children will not see Santa arrive.

Before the appearance begins, please have Santa’s seating area, lighting, gifts, guest information, and planned activities ready. If gifts will be presented, they should be wrapped, clearly labeled, and placed together for easy collection.

After your reservation is finalized, your final confirmation will include helpful tips and suggestions for preparing young children, including two- and three-year-olds experiencing their first visit with Santa.

How many guests can Santa Albert visit during a one-hour appearance?

Santa Albert can usually provide an individual experience for approximately 20 guests during a one-hour appearance.

Larger groups may require additional appearance time or a more streamlined visit format. Santa Albert will help recommend the best schedule based on the number of guests and the activities planned.

Clients may provide the names of selected guests, along with one or two positive, interesting, or humorous details about each person, at least 72 hours before the appearance.

Because appearance time is limited, not every submitted guest or detail can be guaranteed to be included.

Can Santa Albert present gifts during the appearance?

Yes. Santa Albert can present gifts supplied by the host. Please have all gifts wrapped, clearly labeled, and placed together before Santa arrives.

Santa carries one gift bag slightly larger than a large pillowcase, so all gifts should fit safely inside.

Santa will collect the gifts according to the instructions provided in your final confirmation information. Oversized, unusually heavy, or fragile gifts should be presented with assistance from the host or another responsible adult.

Does Santa Albert arrive dressed and ready to perform?

In most cases, Santa Albert arrives fully dressed and ready to begin his appearance.

If travel conditions, weather, or the event schedule require a changing area, you will be notified before the event. Any changing area provided should be private, clean, secure, and away from arriving guests—especially children.

What happens if severe weather affects an outdoor appearance?

If rain, high winds, extreme temperatures, or other severe weather conditions make an outdoor appearance uncomfortable or unsafe, the appearance must be moved to a suitable indoor location.

The client is responsible for selecting and providing the indoor location and should prepare an alternate indoor plan before the event, whenever severe weather is possible.

Children, Special Accommodations and Pets

Every guest is welcomed with patience, respect, and flexibility, whether a child feels nervous, an accommodation is needed, or a pet will be attending.

What if my child is shy, nervous, or afraid of Santa?

Santa Albert never forces a child to approach him, sit on his lap, or pose for a photograph.

He follows the child’s comfort level and may begin by speaking softly from a distance, interacting with other family members, kneeling nearby, or allowing the child time to observe.

Parents and caregivers are encouraged to remain calm and avoid pressuring the child. The goal is to build trust and create a positive experience—even when the visit does not include a traditional photograph.

Is Santa Albert pet-friendly?

Yes. Santa Albert welcomes well-behaved pets and is happy to include them in photographs when it can be done safely.

Please tell us in advance that pets will be attending and have a responsible adult keep them properly secured and supervised.

Because pets may have allergies or dietary restrictions, Santa does not provide treats unless arrangements have been approved in advance.

May we take photographs and videos during Santa Albert’s appearance?

Yes. Guests are welcome to take photographs and videos for personal, noncommercial use.

Any promotional, advertising, fundraising, resale, broadcast, or other commercial use of Santa Albert’s image or performance requires written approval in advance. Please contact us before the event to discuss the intended use.

Does Santa Albert offer photography, backdrops, props, or a Santa throne?

Yes. Santa Albert offers optional photography packages with professional-quality photographs, on-site 4 × 6-inch prints, and digital image delivery.

Festive backdrops, props, and Santa Albert’s Awesome Throne may also be added to qualifying reservations, subject to availability.

Can additional holiday characters be included in my reservation?

Yes. Additional holiday characters may be available to greet guests, assist with activities, and pose for photographs.

Availability depends on the event date, location, appearance length, and performer availability.

To ask about character availability, please begin your reservation and include the characters you are interested in.

Selecting enhancements and additional characters in advance allows time to confirm availability, coordinate performers and equipment, and prepare a safe, polished experience for the event.

Safety, Insurance and Professional Standards

Does Santa Albert carry liability insurance?

Yes. Santa Albert carries $1,000,000 in liability insurance. A Certificate of Insurance can be provided upon request.

If your venue or organization needs to be named as an additional insured, please provide its exact legal name, address, and required insurance wording at least seven business days before the appearance.

Does Santa Albert complete background checks?

Yes. Santa Albert undergoes an annual background check through the California Department of Justice. Documentation confirming the background check may be provided upon request to qualifying clients, schools, venues, and organizations.

Clients may also arrange an independent background check if they choose to do so. Any fees or expenses associated with an additional background check are the client’s responsibility, and all required authorizations and applicable legal requirements must be followed.
